Emails are a key part of online communications and something that Transporters.io uses extensively to communicate with you, your staff, customers, drivers and suppliers.

Emails within the system come in various forms and this page is a brief summary to help you understand the different types and their purposes.

Templates

Settings->Templates->Emails
Here you will find a selection of different templates that you can prepare to go out in the relevant scenarios. These are built into key functions of Transporters and in many places will be displayed to you prior to sending to allow any modifications.

eg. Either the unpriced or priced quote email will be sent to customers when completing the quote form on your website, depending on whether instant pricing is available. This template will also be prepared anytime you hit the "Send" button inside any order.

Triggered Emails

Triggered emails allow you to send additional emails - either to your customer, driver, yourself or any other email. Triggered emails are sent instantly whenever the specified event is triggered.

eg. Send yourself a copy of all new quotes or your accountant an email for every payment.

Scheduled Emails

Scheduled emails are similar to Triggered emails, except they happen on a schedule relevant to the event occurring.

eg. Email a customer that payment hasn't yet been received or follow up a year later to see if interested in the same journey again this year.

Frequent Templates

Frequent templates will be available when you press "Send" inside any order and allow you to have pre-prepared messages for common usage.

eg. Instructions on where to meet when picking up at a certain airport.

File Attachments

File attachments are available when you press "Send" inside any order and allow you to send any attachments along with the email.

eg. Send a special offer brochure or a copy of your liability insurance.

Email Variables

Most templates have a collection of variables [LOOKING_LIKE_THIS] alongside them. These allow you to insert details relevant to the email such as Order ID, Customer Name etc. Either drag and drop or copy and paste these into the position you desire inside the email and they will be replaced automatically when the email is sent.
